Rent receipt guide: what to include, rent books, template

What a rent receipt must show, sample wording, when landlords in England must give a rent book (weekly rent), tax records, and free numbered receipts.

General information for England as at October 2026, not legal or tax advice. Rules differ in Wales, Scotland and Northern Ireland; check gov.uk or a qualified adviser for your situation.

A rent receipt should show the landlord's name and address, the tenant's name, the property address, the amount paid, the date it was paid, how it was paid, the rent period it covers, any balance still owed, and a receipt number. In England most landlords don't have to give receipts, but if the rent is paid weekly the landlord must provide a rent book or similar document. Giving a receipt for every payment is good practice and avoids arguments about what was paid.

Do landlords have to give rent receipts?

For most tenancies in England there's no general legal duty to issue a receipt for each payment. There are two important exceptions and one strong reason to do it anyway:

  • Weekly rent: under section 4 of the Landlord and Tenant Act 1985, where a tenant pays rent weekly, the landlord must provide a rent book or other similar document. It doesn't apply where the rent includes board (meals) that makes up a substantial part of the rent. Failing to provide one is a criminal offence with a fine.
  • Cash: if a tenant pays in cash, there's no bank record, so a receipt is the only proof. Tenants paying cash should always ask for one, and landlords should always give one.
  • Evidence: if rent arrears ever reach a dispute or a court, a clear record of what was paid and when, matching the receipts, is what both sides will rely on.

What should be on a rent receipt?

  1. A receipt number, in sequence, never reused.
  2. The date of the receipt and the date the money was received.
  3. The landlord's name and address (or the agent's, with the landlord's name).
  4. The tenant's name, or all joint tenants' names.
  5. The property address.
  6. The amount paid, in figures (and in words for cash, if you like).
  7. How it was paid: bank transfer, standing order, cash, card or cheque.
  8. The rent period it covers, such as "rent for 1 to 31 October 2026".
  9. The balance: anything still owed, or "paid in full" for that period.
  10. A signature or the name of whoever received it.

Keep the receipt about rent only. Record a deposit or a holding deposit separately, because they have their own rules: a deposit on an assured tenancy must be protected in a government-approved scheme within 30 days. See our deposit protection rules.

What is a rent book and who needs one?

A rent book is a record kept by the tenant, in which each payment is written and signed for. It can be a printed book or "other similar document", so a running statement of payments can do the same job. In England a rent book must be provided where rent is payable weekly. Under section 5 of the same Act it must include the landlord's name and address, and some older protected or restricted tenancies need further prescribed information.

If your tenant pays weekly, provide a rent book or statement from the start, and keep it up to date. If rent is monthly, you don't need one, but a numbered receipt for each payment does the same job.

  • Wales: the rent book duty in section 4 doesn't apply to occupation contracts under the Renting Homes (Wales) Act 2016. Landlords must instead give a written statement of the contract.
  • Scotland and Northern Ireland: the rules are different, so check locally.

Rent receipts and the Renters' Rights Act

Since 1 May 2026, most tenancies in England are periodic, rent can only be increased once a year using the proper notice, and landlords can't ask for more than one month's rent in advance before a tenancy starts. None of this creates a new duty to issue receipts, but it makes accurate records more important: if you raise the rent, your receipts should show the new amount from the right date. See the Renters' Rights Act landlord guide.

Keeping records for tax

HMRC expects landlords to keep records of rental income and expenses that back up their tax return, normally for at least 5 years after the 31 January submission deadline for that tax year. Since 6 April 2026, landlords and sole traders with qualifying income over £50,000 must use Making Tax Digital for Income Tax, keeping digital records and sending quarterly updates through compatible software. The threshold is planned to fall to £30,000 from April 2027 and £20,000 from April 2028.

Make numbered rent receipts for free

The free DIY Inventory landlord dashboard keeps a rent record for each property. Tap Mark as received when rent comes in, and it records the payment, matches it to the right rent period and gives it the next receipt number. Each receipt can be printed, downloaded as a PDF, or emailed to the tenant, and shows the balance outstanding as at its date. It also tracks expenses, gives a tax-year summary of rent received and expenses (with CSV downloads), and reminds you before Gas Safety, EICR and EPC certificates expire. If rent is late, it can also write a reminder from the rent record: see the late rent letter guide.

Questions

Is a landlord legally required to give a rent receipt?

Not for most tenancies in England. But where rent is paid weekly, the landlord must provide a rent book or similar document, and a receipt is always wise for cash payments.

What should a rent receipt include?

A receipt number, the date, the landlord's and tenant's names, the property address, the amount, how it was paid, the period it covers and any balance owed.

Do I need a rent book if my tenant pays monthly?

No. In England the rent book duty applies where rent is payable weekly. For monthly rent, numbered receipts or a statement of payments are good practice.

Is a bank statement enough proof of paying rent?

A bank transfer leaves its own record, which is usually good evidence of payment. A receipt adds which rent period it was for, which helps if payments are late or partial.

How long should landlords keep rent records?

HMRC normally expects records to be kept for at least 5 years after the 31 January deadline for the tax year they relate to.
