Your privacy

What DIY Inventory keeps, why, and what you can ask us to do with it.

While you’re doing your inventory

Your inventory, including its photos, saves automatically as you go: on your own phone, and backed up to our server, so your work isn’t lost if you close the page, lose signal or lose your phone. The backup includes what you’ve entered so far and your photos, whether or not you finish the report. Unfinished backups are deleted after 180 days. Starting again deletes the inventory from your phone; contact us to have a backup deleted.

While you take photos, each one may be sent to an AI service to suggest the item’s condition. It isn’t kept there.

When you finish

When you sign and finish, a copy of your report is sent to us and stored securely, so it can’t be lost. It includes what you entered: the property address, your name, your signature, the rooms, items and their condition, meter readings and keys, and your photos. Full-size copies of the photos are stored too, so the links in your report open them.

  • It’s also shared with the letting agent, so everyone has the same record.
  • Anyone with your report can open the photos in it from their links. Each report’s links use a long random key that can’t be guessed.

Photos

The app uses your camera only while you’re taking photos for your inventory. The date and time are added to each photo. We don’t use your location.

Messages

If you use the contact form, we keep your name, email, phone number (if given) and message so we can reply.

Cookies

We use one cookie to remember your access link or code on your phone, so you don’t need it again, and, if you have a landlord account, one to keep you signed in. There are no advertising or tracking cookies.

Visit counts

We count visits to this website and the app ourselves, without cookies and without any outside analytics service, so we know how many people visit and how many go on to finish a report. We don’t store IP addresses: a visitor is recognised only for the day, with a code that changes every day, and all we keep are counts, such as page views, which site a visitor came from, the type of device and the browser’s language.

Sign-off links

If a report is sent to someone to sign, the link shows them the report and its photos. When they sign, we keep their name, signature, any comments and the time, and add them to a signed copy of the report.

Earlier reports

A check-out or inspection can be started from an earlier report of the same property, using that report’s link. The new report then shows the earlier conditions and photos for comparison.

Landlord accounts

If you create a free landlord account, we keep your name, email address and a scrambled form of your password, and what you add for each property: its address, type and bedrooms, its EPC, Gas Safety and electrical safety details, any certificates you upload, and the tenancy (your tenants’ names and contact details, dates, rent and deposit). We use them only to show you your dashboard and to email you reminders before certificates expire. To find a property’s EPC we send its postcode to the government’s EPC register. Uploaded certificates can only be opened while you’re signed in to your account. A cookie keeps you signed in for up to 180 days. You can delete your account, and everything in it, at any time from its Settings page.

If you use the rent and expenses pages, we also keep the records you enter: the rent and when it’s due, each payment you mark as received (amount, date, how it was paid and any note), the receipts you send, and your expenses (date, category, supplier, description, amount and any receipt or invoice you upload). These are your own records, kept so you can see what’s been paid, send receipts and download a summary for each tax year. Only you can see them while signed in; we don’t use them for anything else or share them. When you send a rent receipt, we email it to the tenant email addresses on the tenancy, with replies going to you. We keep the records for as long as you keep your account, or until you delete them; deleting a property deletes its rent and expense records, and deleting your account deletes all of them. Download your summaries first if you need to keep them, for example for HMRC.

Property reports

When you look up a postcode on our free property report, we send the postcode to public data services (postcodes.io, the EPC register, HM Land Registry, data.police.uk and the Environment Agency) to fetch the figures. If you ask for the full report, we keep your name, email address, phone number, what you told us you are (landlord, agent and so on) and the property, so we can send you the report and contact you with a rent valuation and about our services for that property, as you agreed. We don’t sell or share your details. Ask us at any time to delete them.

Floor plans

If you buy a report on our buy page, card details go only to the payment company (SumUp or Stripe). We keep a record of the purchase: the date, the amount, the payment reference, your personal report link and whether it has been used, and the name and email address you gave, if any. We use your email only to send you your receipt and your link.

A floor plan you draw is kept on your device (and, when it is part of a report, with the report and its online backup). If you buy one, card details go only to the payment company (SumUp or Stripe); we keep a record of the purchase (the date, the amount, the payment reference and the address you gave the plan, if any).

Your rights

You can ask to see the information we hold about you, have it corrected, or have it deleted where we don’t need to keep it. Contact us to ask.
